Five Simple Tips VEAs can use to Manage Time More Efficiently

Working as a Virtual Executive Assistant (VEA) can be fulfilling work for anyone who is self-motivated and can manage their time effectively. In this business, working with several top-level executives, managing projects, and completing high-level tasks can leave you feeling accomplished day-to-day, however with the demands of multiple tasks, being organized is the key to keeping your work-life balanced.

Being in the industry for over 10-years as a seasoned VEA, then later opening my own VEA firm, I’ve had my share in learning a handful of great tips anyone can use for managing their time when working in a digital space: 

  • Time blocking. Use a time blocking approach. By doing this, you ensure the most amount of work is being done in the least amount of time and with the least amount of distractions. Try blocking your meetings together and leave specific days for tasks only.

  • Prioritize a list. Lists can be overwhelming — I agree, but not when you have a plan. Set deadlines for various tasks and place the most urgent ones at the top. Prioritizing a list, paired with time blocking, allows you to stay ahead by getting the most important tasks out of the way, first.

  • Find the right tools. There are tons of free and readily available tools online for organizing administrative work, project management, and communication. Take advantage of the resources available and choose the best tools to get your job done efficiently.

  • Create a home office space. There are many pros and cons to working at home, but the most important thing to keep in mind is to have a designated office space. Create a space that is organized and quiet — free from other distractions like kids, the family dog, or chores. If you live in a small apartment, create a quiet corner for your desk and computer.

  • Prioritize self-care. Simply put: failing to take care of yourself can eventually lead to burn out. Learn to take care of yourself even during yoir busy schedule. Sleep well, exercise often, eat healthier, and practice relaxation techniques. Set some time aside for self-care and time for family and friends.
